Permissible Purpose
Volunteer screening for roles involving vulnerable populations is a recognized permissible purpose. Document why each volunteer role requires a background check.
Disclosure & Authorization
Before ordering a check, provide a standalone FCRA disclosure and obtain written authorization. VolunteerBadge application templates include locked FCRA disclosure and e-signature fields — do not remove them.
Adverse Action
If you decide not to accept a volunteer based on a report, you must follow a two-step process:
- Pre-adverse notice — inform the volunteer you are considering adverse action and provide CRA contact info
- Waiting period — allow at least 5 business days for the volunteer to respond or dispute
- Final adverse notice — confirm the decision with CRA information
Results classified as "Consider" are not automatic rejections — perform an individualized assessment first.
