VolunteerBadge is AI-native: instead of hunting through spreadsheets and old emails to answer the same volunteer questions over and over, you can teach VolunteerBadge about your programs once and let it draft replies for you. It's a free perk — our way of giving nonprofit leaders back their time, especially when you're running big events or a church with a lot of volunteers.

You are always in control

The AI never sends anything on its own. It only drafts a suggested reply into your composer — you read it, edit it, and hit send (or ignore it). Think of it as a fast first draft, grounded in your information.

Set it up · Free Perks → AI Replies

Add context. Under Knowledge base, add what the AI should know — event schedules, parking and check-in details, dress code, FAQs, policies. Paste the text, or upload a PDF, image, or text file — we read the text out of it for you (every file is virus-scanned). For a Word doc, export it to PDF first. Add as many entries as you like.
Set the tone & rules. Tell it how you sound (“warm and encouraging; sign off as The Events Team”) and set guardrails it must follow (“never promise specific pay,” “always say arrive 15 minutes early”).
Leave “Enable AI suggested replies” on. (Owners and admins manage these settings.)

Use it · the “Suggest reply” button

When a volunteer messages you a question, open the thread in the Message Center (or on the volunteer's profile) and click ✨ Suggest reply above the composer. VolunteerBadge reads the conversation and drafts a response using only your knowledge base and rules, then drops it into the box for you to review and send.

It won't make things up

If the answer isn't in your knowledge base, the draft won't invent dates, times, or amounts — it writes a friendly holding reply and leaves the specifics for you to confirm. The more context you add, the more complete the drafts get.

This feature is free while in preview. Down the road, heavy AI usage may move to optional AI credits, but the goal is simple: help you answer routine volunteer questions in seconds so you can spend your time on the work that matters.
